COBA Board Information

January 9, 2012 Meeting Minutes

Present: Scott Taylor, John George, Terry Eddy, Dana Stahlman, Dan Wampler, Bill Tolliver, Mike Hatter, Dana Stahlman, Barb Bloetcher, Dwight Wells, Rod Pritchard, Nina Bagley, Gail Walter

Committee Chairmen for 2012 were appointed by the President as follows

  1. Bee School. Barry Conrad will continue as Chair.
  2. Lithopolis Honeyfest (AH): Mike Hatter will co-chair with another person (preferably the scholarship committee Co-chair)
  3. Scholarship Committee: Mike Hatter will co-chair with another person (preferably same person as co-chairs the Lithopolis Honeyfest.)
  4. Meeting refreshments (AH) (Michele and Carmen Conrad are willing to continue)
  5. Education: Dan Wampler is willing to be a co-chair, but cannot do it alone. Terry will contact Pat Chambers to assess her interest in serving again as co-chair
  6. Program: Dwight Wells, chairman
  7. Membership: ??? TBD
  8. Newsletter: Gail Walter. Article deadline 7 days before the last day of the month.
  9. Auditing ( Terry will ask Joy Vorhees and Pat Chambers to do this—did this last year)
  10. Nominating (suggestion: Bill Johnson but he will need to be asked)
  11. Budget: John George
  12. Bee Yard: Bill Tolliver, with Rod Pritchard Co-chair (first meeting to be established), John Carmony, cochair [master in bee yard and beginners bee yard]
  13. Franklin Park Conservatory Bees (AH) Nina Bagley and Patti French
  14. Political Action (AH): Scott Taylor, with Rod Pritchard and Dan Wampler (MORPCC Franklin County Local Food Council has given us a permanent committee seat and Rod and Barry are attending)
  15. 4th of July picnic: (AH) Mary Wampler
  16. Helping Hands: Bill Tolliver
  17. Wooster Trip (AH): March 2nd and March 3rd open
  18. Queen Project (AH) Sue Hamrick with Rod Pritchard
  19. Darby Days (AH) Saturday in October: Rod Pritchard
  20. Farm Science (AH) Dwight Wells—we will want to run two booths this year
  21. Finance Committee: Barry Conrad, Sue Valentine Cooper, Abby Scott
  22. Banquet Committee (AH) Set date November 14 (Wednesday) (not Wednesday the 21st, which is the day before Thanksgiving). There will be a honey contest.
  23. Bee Dollar Auction (AH): Nina Bagley
  24. Website Committee: Jody Jones, Scott can back her up
  25. Pancake Breakfast Barry Conrad, with Mike Hatter doing the plant sale
Franklin Park Conservatory: Franklin Park Conservatory needs a list of meeting dates and agenda from Terry Eddy, as well as Bee School dates. Terry will contact Barbara Arnold.

Question: can inquiries through the club email be directed to specific committee chair through button or pull down menu, or "click here?" Question for Jody to respond to.

Vice President: This position became open when Terry assumed the Presidency. Dan Wampler was nominated by Terry Eddy to be Vice President and the Board approved the nomination. Dan Wampler is now the club Vice President for 2012. This creates a vacancy for Trustee (term expires at end of 2012).

New business

  1. Printing of COBA brochure: Scott will be responsible for printing brochures. Board approved a motion for printing of 5,000 more brochures.
  2. Audit: Terry will ask Joy and Pat to obtain an audit from the same person as did it last year, and will ask them to be on the audit committee. Barry has this information as to who did this last year.
  3. Membership goals for the year discussed: COBA goals for membership: get more regularized roster, with yearly list of dues paying members. Also need to decide who can get access; who maintains and enters new data. Gail, Scott and possibly Bill Valentine-Cooper will discuss. Needs more board discussion. Membership Retention: ideas for retention: calls; post cards; mentoring. No action. Further discussion deferred to next meeting.
  4. Bee Dollars: do we need to order more? The Board voted approval to order more bee dollars when the supply gets low (5,000 more will be ordered as soon as the supply gets low)
  5. Calendar for the year was developed with Board input.
  6. Appointment of one-year Trustee appointment is deferred to February meeting.
  7. Committee Budgets: Committee chairmen need to email John George with budget requests. Expenditure amounts over $500 need to be approved by the Board.
  8. Scholarship: There is a good amount of money in the fund and Mike Hatter proposed that COBA sponsor 3 scholarships. (last year there were two COBA scholarships and one master’s scholarship--there does not appear to be the option of a master’s scholarship this year, thus the proposal for 3 COBA scholarships). We are going to encourage the scholarship winners to attend the bee yard at least 6 times. Serious applicants who do not receive the scholarship will be offered free tuition to the bee school if they attend. The motion passed for three scholarships and offer of bee school tuition for those who do not get the scholarship (for serious applicants).
  9. The program Chairman will put together programs for the year (Dwight Wells).
  10. Youth program options discussion. Possible options: support a 4H bee club for youth.

    Alternatively, we can solicit ideas from youth regarding things they would like to participate in as part of our regular meetings and have a “youth-oriented” component to our regular meetings and events.
  11. Bee Yard meeting day needs to be decided by the January meeting.
  12. The Board discussed providing John Schreiber some money for his mission trip to Haiti to support beekeeping. Board approved motion to support John’s trip to Haiti with $300.
  13. Paperwork for non-profit status was submitted and mailed by Barry Conrad well before the deadline, with preparation of paperwork assisted by Susan Valentine-Cooper. Thanks are extended to Susan for her assistance in this effort..
  14. COBA will announce the upcoming speakers at OSBA: 3-22-12. 6:30 p.m. Speakers Dr. Larry Connor and Dr. Dewey Caron will present to beekeepers at the Martin Janus Center at the Ohio State Fairgrounds. $30.00 for nonmembers, $25.-00 for OSBA members. Topics: Colony Management and Biology of Beekeeping.
  15. Dan Wampler will present information about the bee schools to local papers. Approved by the Board.
